How to turn school newsletters into calendar events

School and daycare newsletters are full of dates: picture day, early dismissal, spirit week, field trips, RSVPs. Here are three ways to get those dates onto your family calendar, from the simplest to the most automatic.

Why it takes so long

Most newsletters arrive as a long email or a PDF. The dates are scattered through paragraphs, some events run for several days, and an RSVP request sometimes never says when it is due. A week later the next newsletter arrives and the work starts again, once for every child and every school.

Way 1: by hand

Read the newsletter and create each event in your calendar app yourself. It costs nothing and you see every detail. It works well for one or two events. It gets tedious with several children, several schools, or a newsletter every week.

Way 2: ask a general AI assistant

Paste the newsletter into a general chat assistant and ask it to list every date, time, and deadline. That is faster than typing. Two things to watch: you repeat it for every newsletter, and you still check the list against the original, because any AI can misread a date. Depending on the assistant, you may also have to add the events to your calendar yourself.

Way 3: a tool built for school newsletters

A few apps are built for exactly this job. ClearWeek is one of them. There are three ways to use it:

  • Free scan. Paste or upload a newsletter, review the events ClearWeek found, and add them to Apple, Google, or Outlook calendars. No account, and the scan is not stored.
  • ClearWeek Plus ($4.99 a month or $39 a year). Saved events on a day-by-day home screen and a month calendar, a color for each child (up to three), and week-ahead and day-before reminders.
  • ClearWeek Pro ($9.99 a month or $79 a year). Forward school emails to your private ClearWeek address, or set a rule in your own email to do it, and new events appear on their own. Rescheduled events move instead of duplicating, and one private calendar link keeps every phone in the family up to date. No limit on children.

Prices are flat per family, never per child. See pricing

How ClearWeek handles mistakes

ClearWeek uses AI to read newsletters, and the AI is good but not perfect. It can miss an event or get a date or time wrong, so glance at the original newsletter for anything important. What ClearWeek does so a problem shows instead of hiding:

  • On a free scan, you review every event before it goes on your calendar.
  • If a newsletter prints a weekday that does not match the date ("Thursday, October 2" when October 2 is a Friday), ClearWeek keeps the printed date and adds "(check the date: newsletter says Thursday)" instead of guessing which half is wrong.
  • If the newsletter asks for an RSVP but gives no due date, ClearWeek says "(no due date given)" instead of making one up.
  • If an event has a start time but no end time, ClearWeek shows "(no end time given)" instead of inventing one.

Which way fits you

  • One newsletter now and then: by hand, or the free scan.
  • A newsletter every week, or more than one child: ClearWeek Plus keeps it in one place with reminders.
  • More than one school, or you would rather not open each newsletter yourself: ClearWeek Pro reads new school emails as they arrive.

Questions and answers

Does ClearWeek read my inbox?

No. ClearWeek never logs into your inbox and cannot see any email you do not forward. With Pro, you choose what to forward, by hand or with a rule in your own email.

Why don't new events show up in Google Calendar right away?

Google refreshes subscribed calendars on its own schedule, sometimes up to a day. Events appear in ClearWeek right away, and the email ClearWeek sends you has instant add links when you cannot wait.

Does it work for daycare newsletters too?

Yes. ClearWeek reads school and daycare newsletters the same way.

What does it cost?

The scan is free. Plus and Pro are flat per family, monthly or yearly, and you can cancel anytime in Settings.
